Invoices and catalogs turned into orders, without retyping
The problem
Every purchase meant reading a supplier's invoice, finding each item in a catalog spreadsheet and keying the order into the accounting system by hand. It was slow, and every retyped line was a chance for a wrong code or price to reach the books.
What we built
We built an assistant that reads supplier invoice PDFs, matches each line against the supplier's catalog spreadsheet and drafts the purchase order. Staff review the matches and fix anything flagged, and the order is posted to the accounting system through its own integration, so the order and the books agree.
What changed
- Invoice lines matched to catalog items automatically, with unclear matches flagged for a person
- Purchase orders built from the matches and posted to the accounting system
- In production, with staff creating live purchase orders through the assistant
